This remote AR Specialist role is focused on keeping billing, accounts receivable, payment tracking, and financial records accurate, current, and easy to verify. The position supports internal financial visibility by maintaining organized client account records, tracking payment activity, monitoring overdue balances, and ensuring leadership has a clear view of collections, outstanding AR, and account risk.
This opportunity is best suited for someone who enjoys working with numbers, systems, deadlines, and accuracy. The role requires strong ownership of financial data, consistent follow-through, and the ability to coordinate internally so accounts receivable activity is properly tracked, assigned, completed, and resolved.

What You’ll Do
Billing & Financial Tracking
- Maintain accurate and up-to-date client account statements across internal systems.
- Apply payments and update client ledgers within 24–48 hours of receipt.
- Process refunds, payment adjustments, and billing corrections.
- Identify and resolve discrepancies across billing records, ledgers, QuickBooks, and payment platforms.
- Track client payment plans and ensure account records reflect the current payment status.
- Apply late fees to overdue balances in accordance with established policy.
- Ensure financial data remains consistent across Docketwise, QuickBooks, and payment systems.
- Prepare weekly billing summaries for leadership review.
Accounts Receivable Oversight
- Run weekly AR aging reports and identify overdue or at-risk accounts.
- Maintain a master AR tracker with clear status updates for each client account.
- Assign AR follow-up tasks to the Administrative Assistant for client outreach by phone, text, or email.
- Provide clear instructions, scripts, and priorities for delegated AR follow-up activity.
- Monitor completion of assigned follow-ups and ensure outstanding balances are resolved in a timely manner.
- Escalate unresolved, sensitive, or high-risk accounts to leadership when needed.
- Notify internal teams when payment status may impact case progression or workflow timelines.
Cash Flow & Reporting
- Maintain a rolling four-week cash flow forecast and update it weekly.
- Track expected collections against actual payments received and flag discrepancies.
- Identify risks to cash flow based on AR trends and client payment behavior.
- Maintain a real-time view of collections and outstanding balances.
- Report on daily, weekly, and monthly collections activity.
- Prepare weekly internal billing and AR summaries for leadership review.
- Maintain organized, audit-ready billing records that support accurate financial reporting.
Process Improvement & Coordination
- Conduct periodic audits of billing and AR processes to confirm accuracy and consistency.
- Document billing and AR procedures in an internal operations manual.
- Identify inefficiencies and recommend process improvements for speed, clarity, and accuracy.
- Ensure workflows between billing support and administrative follow-up remain organized and repeatable.
CPA & Financial Coordination
- Coordinate with accounting and bookkeeping contacts to ensure timely access to accurate billing and payment data.
- Reconcile internal billing records with QuickBooks and payment platforms.
- Proactively identify and resolve inconsistencies before external accounting review.
- Respond promptly to requests for supporting financial documentation or clarification.
Data Accuracy & Accountability
- Ensure no payments remain unapplied beyond 48 hours.
- Maintain records that are easy to trace, review, and verify.
- Act as the first line of defense for billing accuracy by identifying issues before external review.
- Keep invoices, balances, and payment statuses fully updated and aligned with actual payment activity.
Qualifications
- Prior experience in billing, accounts receivable, bookkeeping, or financial operations.
- Experience using QuickBooks is required.
- Comfortable using Excel and/or Google Sheets for tracking, reporting, reconciliation, and financial organization.
- Experience with payment platforms such as LawPay, Zelle, Stripe, or similar systems is preferred.
- Ability to reconcile information across multiple systems and identify discrepancies quickly.
- Strong understanding of how billing, collections, and accounts receivable affect cash flow.
- Comfortable tracking payment plans, overdue balances, and financial activity across multiple client accounts.
- Ability to maintain accurate real-time financial data, not only end-of-week reporting.
- Understanding of the importance of providing clean, reliable data to accounting and bookkeeping contacts.
- Highly detail-oriented with the ability to catch inconsistencies, errors, and missing information.
- Strong sense of ownership over financial data, accuracy, deadlines, and follow-through.
- Comfortable working independently with minimal supervision.
- Organized and systems-driven, with the ability to maintain clean and structured records.
- Able to prioritize recurring tasks and deadlines without constant reminders.
- Proactive communicator who follows up internally to ensure delegated AR tasks are completed.
- Able to clearly assign, track, and follow up on AR-related tasks.
- Comfortable communicating with leadership about financial status, account risks, and discrepancies.
- Comfortable requesting missing information or clarification from internal team members.
- Able to maintain accurate financial records with minimal errors.
- Able to answer, at any given time, how much has been collected, what remains outstanding, and which accounts require action.
