About the Role
This opportunity is for an experienced finance and operations leader to oversee financial controls, business operations, and administrative processes within a fast-growing SaaS environment. This is a senior individual contributor position with direct oversight of an HR/Ops Manager and Bookkeeper, along with the opportunity to build and scale a small operational team over time.
The role partners closely with executive leadership and cross-functional teams across Sales, Customer Success, Marketing, Product, and Engineering to maintain operational efficiency and financial visibility across the organization.
You will inherit an established operational infrastructure that includes banking, payroll, accounting, and external advisory partners. The primary focus is to strengthen, optimize, and scale the systems and processes already in place.
Preferred Region: Bay Area preferred with some Pacific Time overlap required
Employment Type: Full Time
Compensation: $160,000 – $200,000 per year, plus equity and benefits. Final compensation will depend on experience, scope alignment, and location.
What You’ll Do
- Serve as the primary approver for payroll, vendor invoices, expense reports, and recurring financial commitments.
- Build and enforce an approval matrix appropriate for a growing 30–60 person organization.
- Establish and maintain internal financial controls including expense policies, vendor onboarding procedures, spend visibility, and segregation of duties.
- Oversee monthly close processes, AP/AR accuracy, and overall accounting quality while managing bookkeeping operations.
- Coordinate with external accountants, payroll providers, and tax advisors.
- Maintain operating metrics including ARR, bookings, renewals, collections, vendor spend, and runway reporting.
- Partner with RevOps to ensure revenue-side reporting accuracy and operational alignment.
- Run quarterly forecasting processes and prepare board-ready monthly operating reports.
- Manage cap table administration, 409A coordination, option grants, and equity tracking.
- Own the operational workflow from Closed-Won through executed order forms, billing setup, and renewal management.
- Create and manage order forms while ensuring billing cycles, usage allowances, overages, renewal dates, and commercial terms are documented accurately.
- Maintain legal intake workflows, contract repositories, redline tracking, and renewal-date management for MSAs, DPAs, SLAs, security exhibits, and order forms.
- Coordinate with external legal and privacy counsel on operational and business process matters.
- Directly manage HR and operations workflows including payroll execution, onboarding, offboarding, benefits administration, headcount tracking, and compensation records.
- Oversee company insurance programs including D&O, E&O, cyber insurance, and employee health coverage.
- Manage insurance renewals, claims activity, and policy adequacy as operational needs evolve.
- Document and improve operational workflows while implementing lightweight systems that increase visibility without creating unnecessary bureaucracy.
Qualifications
- 8–12+ years of experience in Finance Operations, Strategic Finance, Controller-level responsibilities, or hybrid Finance/Ops leadership roles.
- Strong background within B2B SaaS environments is highly preferred.
- Experience managing multi-function finance and operations responsibilities within a SaaS company generating approximately $5M–$25M ARR.
- Hands-on experience approving payroll, accounts payable, vendor payments, and financial controls at scale.
- Experience building approval matrices and operational governance processes.
- Strong understanding of SaaS billing, ARR, renewals, bookings, usage-based pricing, overages, collections, and revenue reporting.
- Comfort reviewing and coordinating operational processes related to MSAs, order forms, DPAs, SLAs, and security documentation.
- Working knowledge of cap table platforms such as Carta, 409A timing requirements, and option grant administration.
- Previous experience managing direct reports including employees and contractors.
- Advanced proficiency with Google Sheets and Microsoft Excel.
- Familiarity with QuickBooks, Rippling, and CRM platforms such as HubSpot or Salesforce.
- Ability to balance strategic planning with hands-on operational execution in a fast-paced environment.
- Strong organizational, communication, and process management skills.
