Role overview

This role provides high-level administrative and project support to multiple senior executives in a fast-paced, high-growth environment. You will manage complex calendars, coordinate travel, support strategic initiatives, and help keep cross-functional work organized, aligned, and moving forward.

What you’ll do

  • Manage complex calendars for multiple senior executives across time zones and countries.
  • Coordinate domestic and international travel, including flights, hotels, ground transportation, and visa requirements.
  • Process expense reports accurately and in line with company guidelines.
  • Provide administrative support, including document management, correspondence, and presentation deck preparation.
  • Support offsites and special events through planning, vendor coordination, materials prep, attendee coordination, and on-site support when needed.
  • Support planning and execution of NYC-based events if local.
  • Monitor project timelines, milestones, and deliverables to help ensure timely completion.
  • Assist with planning, execution, and tracking of strategic initiatives led by executives.
  • Coordinate meetings, workshops, and presentations involving cross-functional teams.
  • Act as a liaison between executives and internal teams to support communication and alignment.
  • Coordinate with internal and external stakeholders to prioritize and schedule engagements effectively.

What you’ll need

  • Experience supporting multiple C-level executives or senior leaders in a fast-paced environment.
  • Strong calendar management, travel coordination, and expense reporting experience.
  • Excellent organizational skills, time management, and attention to detail.
  • Strong communication and interpersonal skills.
  • Ability to handle confidential information with discretion.
  • Proactive problem-solving skills and strong judgment.
  • Ability to work independently and collaboratively.
  • Proficiency with Google Workspace, Slack, and Notion.
  • Experience with event or offsite logistics.
  • Experience in project management and cross-functional coordination.
